Step by step
Archive when you want it out of the way: Hover a conversation in the sidebar, open the three dot menu and choose Archive. The chat leaves the list and stays on your account.
Find archived chats again: Open Settings, then General, then Archived chats. Every archived conversation is listed there, and each one can be unarchived back into the sidebar or deleted for good.
Delete only when you mean it: Delete removes the conversation immediately. There is no trash, no thirty day window and no support recovery, so treat it as final.
Export before any big cleanup: Settings, then Data controls, then Export data. OpenAI emails a ZIP holding every conversation, archived ones included. Do this first and a mistaken deletion costs you nothing.
Convert the ZIP into readable documents: Drop the whole ZIP onto the ChatExports converter. Conversations are read inside your browser tab and listed so you can pick the ones worth keeping as files.

Why people reach for the wrong one
Archiving is what most people actually want. The sidebar gets long, old project chats clutter it, and archiving cleans it up without risk. Deleting is what people click when they want the chat to stop existing, usually for privacy reasons, and that is a fair use of it. The trouble comes from expecting a trash folder. There is none.
A second surprise is search. Archived chats are kept but they drop out of the in app search, so a conversation you archived six months ago is effectively invisible until you go back into Settings and look for it by hand. If you archive a lot, that list becomes hard to use.
The copy that solves both problems
An export sidesteps the whole question. It contains your archived conversations as well as your active ones, it is a file on your own disk, and it is searchable properly once converted. Take one before any cleanup and you can archive and delete freely, because the record is already yours.
Dropping the whole ZIP into the converter reads it in your browser tab and gives you a searchable list with titles, dates and message counts, so finding that archived chat takes a few seconds instead of scrolling a Settings panel. Nothing is uploaded and nothing is stored: the conversations live in that tab only, and closing it clears them.
If you already deleted it
There is no way back through ChatGPT. What sometimes works: an older export that still contains it, a shared link you created before deleting, or a screenshot you can read back into a conversation.
